Do you enjoy being the glue that holds teams together? Simavi is looking for a flexible and detail-oriented Administrative Assistant to provide vital support to our teams and contribute to our mission of improving access to clean drinking water and safe toilets for women and girls around the world.

Too much, too little or too dirty water.

Globally, women and girls are hit hardest by climate change and the lack of safe drinking water and toilets. For a quarter of the world's population, access to water, toilets and hygiene is still far from a given, especially as climate change increases the problem. Especially for girls and women.

Simavi is an independent international non-profit organization that works with partners in 10 countries in Africa and Asia on programmes that support local solutions so women and girls can enjoy their human rights to water, a toilet and equal treatment.

How do we work?

Simavi is a (small /medium sized) Netherlands based international NGO working in the specialist areas of human rights to water and sanitation, gender equality and climate justice.

We put women and  girls at the center of our work and we collaborate with partner organisations world-wide to create impact through our programmes and advocacy and campaigns. We currently work in 10 countries in Africa and Asia. And we have teams based in Bangladesh, Nepal, Uganda, Kenya, India and the Netherlands. The Team

As a key member of the administrative team, you will collaborate closely with colleagues across all departments (Finance and Operations, Programmes, Fundraising and Engagement) and receive guidance from the Director of Finance and Operations.

Your role at Simavi

As Administrative assistant, you will  play a crucial role in ensuring the smooth administrative support across the organisation. You are responsible for managing programme administration and office management. You also supports with private donors relationships.

Your result areas

Administrative support (35%)

  • Project administration and documentation management in accordance with the procedures:
    • Process internal memos and contracts for new programmes, projects and partners.
    • Maintain and monitor the information in the Project management software (Project Connect)
  • Support the planning and follow-up of Programme cluster meetings (action points).
  • Support maintenance and implementation ISO quality management system
  • Manage and update administrative manuals and procedures
  • Support with the onboarding and offboarding of team members

Office Management and Travels:(35%)

  • Coordinate travel arrangements for staff and persons travelling on Simavi's behalf
  • Manage office supplies, kitchen provisions, and cleaning services
  • Maintain communication with the landlord for office-related matters
  • Maintain an organized working space in the office
  • Manage and update administrative manuals and procedures

Individual donors administration:(30%)

  • Support the Junior relation manager private donors in answering emails and/or phone calls, and in updating individual donors CRM system

What you bring

  • Proven experience in administrative support (3+ years) at MBO level
  • Excellent verbal, reading, and writing skills in English
  • Proficiency in Dutch (B2 or higher) is required
  • Strong organizational and time-management skills, enabling effective multitasking and independent work
  • Proficiency in standard computer applications
  • Social and communicative
  • A genuine interest in Simavi's mission and values

What do we offer?

We offer a contract for 24 to 32 hours a week (to be discussed during the interview process) for 1 year with possible extension. The salary we offer depends on the years of working experience you bring along and will be within the salary range of € 2197,22 and € 2899,19- gross per month on a fulltime basis of 36 hours per week. The position in the salary scale depends on the number of relevant years of working experience. Furthermore, part of our terms of employment are: 5 weeks vacation per year, 8% holiday allowance, commuting allowance (as of the first kilometre), a pension insurance and a disability insurance.

Our office is located at Naritaweg 135, which is a 5 minutes’ walk from train station Amsterdam Sloterdijk. We also work hybrid, with the possibility to work 2 days in the office, and the rest for home.
