Friends of the Earth International is looking for a:

Logistics Coordinator – EU project

0.8 fte – 30 hours – 4 days a week

Amsterdam-based position, NL work permit required

 

Friends of the Earth International (FoEI) is the world’s largest grassroots environmental federation with over 70 member groups around the world. We focus on climate justice and energy, forests and biodiversity, food sovereignty, and economic justice.

 

A small International Secretariat (IS) in Amsterdam and a team of global staff supports the member groups, campaigns, programs, and other activities of the federation through fundraising, program coordination, trainings, communications and logistics.

 

FoEI has been awarded an EU grant “People’s power to drive transformative and sustainable solutions”, with a duration of four years. The project aims to strengthen FoEI member groups and structures to work both independently and collectively to contribute to social and environmental justice in policy-making processes. The project covers 67 countries in 4 regions (Africa, Asia-Pacific, Latin America and Europe). Due to the size of this project, we are extending our support team.

 

Job description:

The Logistics Coordinator – EU project (LC-EU) will be responsible for supporting a variety of FoEI events, ranging from international and multi-lingual online meetings to delegations at international events such as the Climate summits, or federation meetings with more than 100 participants.

 

In some cases, the LC-EU will be physically present at the event, in other cases logistics management of the event is done remotely in collaboration with local partners. The LC-EU will also support their colleagues in the Amsterdam office with their travel needs and work together with our current Events Coordinator, who is responsible for events not funded by the EU.

 

They will be part of the IS Support team composed of the Operations Manager, Events Coordinator, Office Manager, two Financial Grant Managers, Bookkeeper and the HR Officer. The position reports to FoEI's Operations Manager.

 

Job responsibilities:

  • Based on an agreed event plan the LC works with relevant FOEI International Secretariat staff, FOEI International Program Coordinators, and with the relevant FOE member group to ensure smooth implementation of the event.
  • Coordinate the delivery of agreed events to the standards/specifications, budgets and timelines agreed in the event plan, following FoEI administrative procedures and ensuring compliance with EU eligibility requirements (reimbursement rules, payment process).
  • In some cases, provide support at events.
  • Maintain lists of event participants, travel itineraries, accommodation, costs.
  • Communication with FOE member groups and their representatives as needed regarding logistical information in relation to events.
  • Support FoEI staff with their travel needs: book tickets and accommodation and arrange visa.
  • Ensure any relevant information is entered into the FoEI central database.
  • Provide support to event participants including visa arrangements, insurances, support in travel arrangements and registration for events.
  • Assist with implementing health and safety policies and protocols related to FoEI events and travel, including a risk assessment.
  • Give input on logistics in the evaluation of events.
  • Administrative tasks relevant to the position, e.g., writing manuals, archiving, ensuring event equipment availability and maintenance.

Requirements:

  • 2 years' experience in organizing international events.
  • Excellent command, both spoken and written, of English as well as fluency in Spanish or French. Basic knowledge of Dutch is an advantage.
  • Strong organizational skills and ability to respect deadlines.
  • Strong communication skills.
  • Strong digital skills and experience with a variety of online tools.
  • Experience with working in multi-cultural work environment.
  • Affinity with FoEI's vision and mission.
  • Permission to work in the NL.

Salaries are competitive with comparable nonprofit positions and based on experience and qualifications, full time salary between € 3,507.61 and € 3,850.28 gross monthly.

Participation in collective pension arrangement is compulsory.

Contract duration: one year, to be renewed upon positive performance evaluation.
